The Models of Pride (MOP) conference requires over 100 volunteers for the conference to be a success.
Listed below are the types of volunteers job positions we will need on October 19. Check back in mid-August to sign-up as a volunteer for Models of Pride 21.
SETUP (4) 7 to 8 a.m.
•Help move equipment/supplies.
•Set up tables and tent.
•Set up sound system.
•Post room signs.
SHUTTLE GREETERS (4): 7:45 to 10 a.m.
•Ride on shuttle buses (4+)
•Ensure all participants find their way to MOP.
•Please bring your cell phone!
REGISTRATION TABLES (19 - 1 Parent Table,
6 Preregistration tables, 10 onsite tables,
2 Adult Chaperone table): 8 to 10 a.m. and later.
•Arrive NO LATER than 8 a.m.
•Check-in preregistered participants as they arrive.
•Assist participants with onsite registration form.
•Distribute conference materials.
•Inform participants to choose their workshops.
•Register high school students for the diner and dace, attach wristband (check id).
•A skeleton crew is needed after 9:30 a.m.
REGISTRATION DATA ENTRY (6+) 8 a.m. to 5:45 p.m.
•Enter registration information into your own laptop.
ICEBREAKERS (30) 8:45 a.m. to 10:15 a.m.
•Check in at 8:45 a.m.
•Orientation 9:00 a.m. to 9:30 a.m.
•Sessions 9:45 to 10:15 a.m.
•Those who volunteered for additional duties report to volunteer desk for assignments at 10:15 a.m.
•Co-lead a scripted session with 10 to 12 youth.
•Overview of activities will be provided via e-mail prior to the conference.
T-SHIRT DISTRIBUTION (3) 8:30 a.m. to 12 noon
•“Runner” to deliver shirts to the adult/parent workshop participants (1)
•Arrange shirts by size.
•Verify and validate registration.
•Distribute one shirt per YOUTH (not to adults) during morning registration (8:30 a.m. to 10 a.m.)
•Distribution of shirts to adults/parents begins at 11:30 a.m. (prepaid only)
AMERICAN SIGN LANGUAGE (ASL) INTERPRETER all day 8:30 a.m. to 5:45 p.m.
•To assist with ASL interpretation if needed.
PEOPLE MOVERS (5-6) all day 9. A.m. to 8:45 p.m.
•Help move participants to move quickly to next workshop or activity.
•A.M. Times 9:45 10:15
•P.M. Times: 12:45, 2:00, 3:30, 4:30, 5:45, 8:30
(All youth must be off campus by 8:45 p.m.)
FLOATERS all day (7 a.m. to 8:45 p.m.)
•Help any volunteer position as needed.
•Check in regularly.
•Patrol and supervise general area; pick up trash.
PRESENTER ASSIST (2) 9:30 a.m. to 3:45 p.m.
•Assist presenters with equipment.
•Must have their own cell phone to call for additional assistance when needed.
WORKSHOP MONITORS (15/15/15)
8 a.m. to 4:30 p.m. (dependent on number of workshops per session)
•Pick up workshop envelope/evaluations from volunteer desk.
•Workshops MUST begin and end on time.
•Close door and post “session closed” if at capacity.
•Remind adults and non-registrant monitors they may observe, but not participate in youth workshops.
•Introduce presenters (name, agency, and topic).
•Remind participants to turn cell phones off.
•No food or beverages are allowed in classrooms.
•Troubleshoot for presenters.
•Monitor behavior of the participants. Youth need to be respectful. No side-talking during presentations.
•Remove any disruptive or disrespectful participants (ask hall monitor for assistance if needed).
•Youth are not to loiter in halls.
•Record headcount of each workshop on envelope.
•Timekeeper, signal presenter when they have 5 minutes left.
•End workshop 5 minutes before the scheduled ending.
•Have participants fill in the conference evaluations.
•Encourage participants to arrive at the next workshop or activity on time.
•Remain with presenters to ensure there is always at least two adults present with youth at all times.
•Sign envelope and return with evaluations to volunteer desk.
•Check for trash, ask participants not to leave trash, leave room clean.
ROUNDTABLE MONITORS (13) 3:30 to 4:30 p.m.
•Pick up evaluations from the volunteer desk.
•Help group start and end on time.
•Close door when room full.
•Assist as requested by facilitators.
•Distribute, collect and return evaluations to volunteer desk.
•THIS IS THE FINAL SESSION OF THE DAY –PLEASE REMOVE ALL BELONGINGS, TRASH, AND SIGNS FROM ROOMS AT THE CONCLUSION OF THE ROUNDTABLE.
HALL MONITORS (8-10) 10 a.m. to 4:30 p.m.
•There will be 2 monitors in each hallway.
•Do not assume gender identity. Youth may select lavatories they deem appropriate for their gender identity.
•Patrol hallways. Firmly, but respectfully, ask students to select and enter a workshop.
•Assist in closing workshops that are at capacity.
•Check for inappropriate or suspicious activities in the restrooms. No smoking, etc. Be nice, but firm.
•Check in with each workshop monitor on your floor to see if everything is going okay and to distribute extra workshop evaluations if needed.
RESOURCE FAIR (2) 10 a.m. to 2:00 p.m.
•Provide assistance with set-up when requested to do so.
•Assist in ensuring Resource Fair participants have registered and displays are age-appropriate.
•Contact volunteer desk for assistance if materials are inappropriate for age group or if you observe inappropriate behavior (bring your cell phone).
•Assist with tear-down when requested to do so.
•Be sure all tables are taken down no later than 2 p.m.
LUNCH (4-6) 11:30 a.m. to 1:00 p.m.
•Collect lunch tickets from youth participants and designated volunteers from 11:45 a.m. to 12:45 p.m.
•Monitor distribution, one sandwich, one drink, etc. per person.
LUNCH PATROL (4) 11:45 a.m. to 1:00 p.m.
•Monitor assigned location during lunch.
•Monitor lunch/resource fair area. Only registered MOP participants are allowed in this area.
•Ask participants to clean up their trash.
•Assist conference participants to be on time for the afternoon workshops.
ENTERTAINMENT ASSISTANT (2) 2:15 – 6 p.m.
•Assist entertainers with rehearsal and performance.
ENTERTAINMENT SESSION (4) 4:30 - 5:45 p.m.
•Stand outside location and monitor that only MOP participants enter.
•Assist participants after the entertainment session.
•Supervise inside event location.
•Assist with tear-down.
•Check for trash, etc. Please leave the Hall clean.
DINNER (8) 5:45 - 7 p.m.
•Check wristbands as students enter (2).
•Supervision. Remind people to clean trash. (6)
SUPERVISION FROM DINNER TO DANCE (2)
6:30 to 8:30 p.m.
• Supervise outside areas.
• Escort participants to shuttle bus.
• Escort participants to restrooms.
DANCE (12) 6:30 to 8:30 p.m.
• Check for wristbands entire evening (4).
• Supervise students going to and from the restrooms, check restrooms (2).
• Supervision inside the tent (6).
CLEANUP AND EXIT All Day (12) (8:30 am to 8:45pm)
•Keep all areas clean.
•Make sure everyone is off campus by 8:45 p.m.
SHUTTLE CREW (4) 6:45 to 9:00 p.m.
•Assist participants at shuttle from 5:30 p.m. to 7:30 p.m. (2)
•Assist participants at shuttle from 7:00 to 9:00p.m. (2)
